How to Bulk Copy Students to a New Activity in AfterSchool HQ

This article explains how to bulk copy students from one activity to another within the AfterSchool HQ platform. This feature allows administrators to efficiently move or duplicate student rosters without manually adding participants one by one.

00:00: In this step-by-step video, I'll show you how to bulk copy students to a new activity within the AfterSchool HQ platform. You'll learn how to select students, choose a destination activity, and complete the process successfully.

00:14: First, hover over the Activity Center and click on Extracurricular Activities.

00:20: Next, select the activity you want to copy students from.

00:26: Click on the Students tab to view the roster.

00:30: From here, you can select individual students or click Select All if you'd like to copy the entire roster.

00:40: In this case, to show you how the feature works in this tutorial, I'm going to click Select All.

00:46: Once your students are selected, click the green Copy to Another Activity button.

00:52: Use the dropdown menu to select the activity where you want to copy the students.

00:59: You'll see additional options, including: Email registration info to parents on file.

01:06: For seat assignments, you can select between "Reserved" and "Reserved for Pending Payment" status.

01:12: You also have the option to copy signatures, if needed.

01:15: Click Copy Participants to complete the process.

01:18: If there are any conflicts—such as a student already being enrolled in the destination activity—you'll see a warning message. Review it and click Got It to proceed.

01:28: And that's it. You've successfully copied students to a new activity in after school HQ.

When to Use This Feature

Use the Bulk Copy feature when:

  • Moving students to a new session of the same activity

  • Transferring students to a different activity

  • Copying rosters for intersession or seasonal programs

  • Saving time when managing large groups of students


Step-by-Step Instructions

Step 1: Navigate to Extracurricular Activities

  1. Hover over Activity Center

  2. Click on Extracurricular Activities

Step 2: Select the Source Activity

Select the activity you want to copy students from.

Step 3: Open the Students Tab

Click on the Students tab to view the roster.

Step 4: Select Students

  • Select individual students, or

  • Click Select All to copy the entire roster

Step 5: Click “Copy to Another Activity”

After selecting students, click the green Copy to Another Activity button.

Step 6: Choose the Destination Activity

From the dropdown menu, select the activity where you want to copy the students.

Step 7: Configure Copy Options

Seat Assignment Status

You can choose between:

  • Reserved

  • Reserved for Pending Payment

Select the appropriate status based on your program’s enrollment and payment requirements.

Copy Signatures

You may also choose to copy existing signatures to the new activity.

Email Registration Information

Optionally, you can send registration information to the parents on file.

Step 8: Confirm Copy

Click Copy Participants to complete the process.

Important Notes

  • If a student is already enrolled in the destination activity, the system will display a warning message.

  • Review the warning and click Got It to proceed.

  • Copying students does not remove them from the original activity.
