How to use Kiosk Mode
Kiosk Mode offers a streamlined way for students or participants to self check‑in and check‑out for activities. It works especially well in public or semi‑public spaces (e.g. lobbies, entrances) where you want to minimize staff intervention.
This guide will walk you through using Kiosk Mode in Afterschool HQ.
1. Introduction
You'll need to run Kiosk Mode on a tablet or computer for participants to use. Make sure the device is connected to the internet and placed in a secure, easily accessible location. Kiosk Mode can only be used during an active period of a scheduled activity, and there must be registered attendees associated with that activity. Once everything is set up and your activity is live, you're ready to start checking in students or participants using Kiosk Mode.
2. Provider PIN Code
Copy your Provider Pin Code.
3. Regular Kiosk
From your dashboard or home page, locate the Kiosk Mode dropdown and select "Regular Kiosk".
4. Enter the Provider PIN
Paste your Provider PIN.
5. Proceed
Click on "Proceed"
6. Search for the attendee
Search for the attendee by name. Only attendees who are registered in the active activity and whose profiles are complete will appear.
7. Select the name
Click on the attendee's name.
8. Phone Number
Enter the phone number associated with their account.
9. Proceed
Click on "Proceed"
10. Parent/Guardian PIN
Enter the parent/guardian PIN.
11. Proceed
Click on "Proceed"
12. Select the activity
Select which activity (from those available to that attendee) they are checking in or out for.
13. Next
Click on "Next"
14. Check In/Out Forms
If there are check‑in questions or forms configured, fill them out when prompted.
15. Wet Signature
If required, a parent or guardian may sign (wet signature).
16. Complete
Click on "Complete".
17. Close
Once complete, you'll see a confirmation screen. Click Close to finish and the next person can follow the same steps.
FREQUENTLY ASKED QUESTIONS
1. Why can’t I start Kiosk Mode today?
If Kiosk Mode isn’t working, it’s usually because a required step hasn’t been completed. Here’s what to check:
a) Ensure that Check-In/Check-Out is enabled for that activity.

b) Make sure you have an activity scheduled for today — Kiosk Mode only works during active, scheduled sessions.
2. Express Mode vs Regular (PIN vs No PIN)

Regular Kiosk Mode requires the parent/guardian PIN. This helps ensure identity and security.

If you prefer faster check‑ins or don’t want to rely on PINs, you may use Express Mode (if available). This bypasses the PIN requirement, truncating some steps. Be aware: this can make check‑ins less secure.
3. Can I collect information when participants check in?
