Grafana dashboards in AfterSchool HQ are built to give you real-time insights into your program’s performance—from attendance tracking to demographic breakdowns and registration trends. While these dashboards are powerful, it’s important to understand how the data is structured and what each metric represents to avoid misinterpretation.
This article highlights how to interpret the data accurately, explains key behaviors you may notice, and shares best practices for working with filters, forms, and attendance records within Grafana.
Data Interpretation & Metrics
Metric names may not match everyday terms
Some report metrics use specific definitions that may differ from common usage.
Example: “Present Rate” only includes full sessions with confirmed check-ins, not just days a student was enrolled.
Activity-based reports reflect assigned groups or classes
Ensure students are correctly assigned to the appropriate activity or program in the platform. Inaccurate assignments may result in missing or incorrect data in reports.
Form-based reports depend on specific questions
Dashboards that analyze demographics or survey data often pull from specific form question IDs.
-
If your organization uses a different version of a form—or has renamed or duplicated a question—it may not be included in the report results.
Check-in and check-out records impact attendance accuracy
Incomplete or missing check-outs can cause inflated attendance durations or counts.
-
We recommend regularly auditing check-in/out data.
-
Automated alerts can be set up to flag unclosed check-outs.
-
Custom reports can also be created upon request to assist in this review.
Not all reports include archived students or programs
Data from archived programs and students may be excluded, depending on the report configuration.
Only finalized sessions count toward attendance totals
Sessions must have finalized attendance to be reflected in reports.
-
Draft sessions or those with skipped logs will not be counted.
Demographic filters rely on current registrant data
Filters like race, gender, or income are based on each student’s current registration information.
-
If this data is edited after the fact, the changes will not retroactively apply to past reports.
Login & Access Issues
Email and password are case-sensitive
Login issues are often caused by incorrect capitalization in either the email or password.

Best Practices
Use filters carefully
Filters like site, activity/program, and date can significantly affect what data you see.
-
Always double-check that your filters match the range, group, or criteria you're expecting to analyze.
